Privacy Policy

1. Who we are

Gesimo operates the Gesimo property management platform (the "Service"), available at app.gesimo.ca and gesimo.ca (together, the "Platform"). This Privacy Policy explains what personal information we collect when you use the Platform, how we use and share it, and the choices you have.

In this policy, "Gesimo", "we" and "us" refer to the operator of the Platform, and "you" refers to any user, including property owners, management firms, owners represented by a management firm, and renters.

We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (Canada) and, for residents of Quebec, the Act respecting the protection of personal information in the private sector (often referred to as "Law 25").

2. Personal information we collect

We collect the following categories of personal information, depending on how you use the Service:

  • Account information: your name, email address, password (stored only in encrypted form), user role, and language preference.
  • Portfolio information: the properties, units, lease documents, rent amounts, expenses and related details that owners and management firms choose to store in the Service.
  • Renter information: names and contact details of renters, their lease information, rent payment status, and the content of maintenance requests and messages, entered by owners, managers or renters themselves.
  • Billing information: subscription and payment records related to your plan. Rent payments between landlords and renters are completed outside the Platform; we track only their status and amounts.
  • Technical information: IP address, browser and device type, access logs, and preferences stored on your device (such as language and theme).

3. How we use your information

We use your personal information to:

  • create and manage your account and authenticate you when you sign in;
  • provide the core features of the Service, including property, unit, lease and rent tracking, maintenance requests, messages and listings;
  • send you service-related communications, such as rent reminders, lease expiry notices, maintenance updates and security notifications;
  • process subscription billing and administer your plan;
  • respond to your questions and provide support;
  • maintain the security, integrity and performance of the Platform;
  • improve the Service, including through aggregated or de-identified analysis; and
  • meet legal, accounting and reporting obligations.

4. Consent and purposes

We collect, use and disclose personal information only for the purposes identified in this policy, and we limit what we collect to what is necessary for those purposes. Some information is required to provide the Service — for example, an email address is needed to create an account — while other information is optional.

Where required by law, we rely on your consent. You may withdraw your consent at any time, subject to legal and contractual restrictions, by contacting us at the email address below or by closing your account. Withdrawing consent may prevent certain features from working.

5. How we share personal information

We do not sell your personal information. We share it only in the following circumstances:

  • Between linked accounts. The Service connects owners, management firms and renters around the same properties and leases. Information such as lease details, rent status, maintenance requests and messages is shared between these linked accounts as needed to provide the Service.
  • Service providers. We use trusted third parties to operate the Platform, including cloud hosting and database services, payment processing (Stripe) and email delivery. These providers process information on our behalf, only for the purposes we give them, and under confidentiality and security obligations.
  • Legal requirements. We may disclose information to comply with applicable law or a valid legal order, or to protect the rights, property or safety of Gesimo, our users or others.
  • Business transfers. If we reorganize or transfer our business, your information may be transferred as part of that transaction, with notice to you where required by law.

6. Payments and billing

Subscription payments are processed by our payment service provider, Stripe. We do not store your credit card number.

Rent and other payments between landlords and renters are arranged and completed outside the Platform using the parties’ usual methods. The Service records their status and amounts for tracking purposes only.

7. Storage and security

We store personal information on secure cloud infrastructure, protected by encryption in transit, access controls and other reasonable administrative and technical safeguards. Access to personal information is limited to people who need it for legitimate purposes, such as providing support and maintaining the Platform.

No method of transmission or storage is completely secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security.

8. Data retention

We keep your personal information only as long as your account is active or as long as necessary for the purposes described in this policy, including to satisfy legal, accounting and reporting requirements.

When you close your account, we delete or de-identify your personal information within a reasonable period, except where we are required to keep it by law.

9. Your rights and choices

Depending on where you live, you may have some or all of the following rights:

  • access the personal information we hold about you and obtain a copy in a structured format;
  • correct information that is inaccurate or incomplete;
  • delete your account and the personal information associated with it, subject to legal retention requirements; and
  • withdraw your consent to certain processing, subject to legal and contractual restrictions.

10. Complaints

If you are a Quebec resident, you may file a complaint with the Commission d’accès à l’information du Québec. Otherwise, you may contact the Office of the Privacy Commissioner of Canada. We encourage you to contact us first so we can address your concerns directly.

11. Cookies and local storage

The Platform uses only essential technologies: session and authentication cookies, and storage on your device to remember preferences such as your language and theme. We do not use advertising cookies or third-party trackers.

12. Minors

The Service is not directed to minors. You must be at least 18 years old, or the age of legal majority in your jurisdiction, to use the Service.

13. Changes to this policy

We may update this policy from time to time. The date at the top of this page shows when it was last updated. If a change is significant, we will notify you by email or through the Platform before it takes effect. If you continue to use the Service after a change takes effect, you accept the updated policy.
